BIRS Tuition Policy

British International Remote School (BIRS) is committed to providing high-quality online tuition in a professional, transparent, and secure manner. This Tuition Policy outlines the expectations, responsibilities, and procedures for students, parents/guardians, and tutors.

1. Tuition Fees

1.1 Tuition fees are set according to the student’s level:

  • Primary School: £25 per subject
  • Secondary School: £39 per subject
  • Sixth Form: £45 per subject

1.2 Fees cover the agreed lesson duration and subject content. Additional support beyond the agreed lessons may incur extra charges.

1.3 All fees are payable in advance unless otherwise agreed in writing.

1.4 Payments may be made via bank transfer, card, or other approved methods. BIRS may require a small test payment before finalising the full payment to ensure secure transactions.

2. Lesson Tracking and Requirements

2.1 BIRS uses a shared online tracking system (Google Spreadsheet) to record lesson details, including:

  • Date and time of the lesson
  • Hours completed
  • Attendance notes (late, absent, or other observations)
  • Homework
  • Tutor feedback 

2.2 Each tuition cycle consists of a 10-hour block. Parents will receive a reminder after 8 hours have been completed to purchase the next block, ensuring lessons continue without interruption.

2.3 To secure a tutor, the student must book a minimum of 10 hours..

3. Communication Policy

3.1 All communication with tutors must be conducted through official school channels, including:

  • Dedicated school email: tuition@thebirs.co.uk
  • School-approved messaging platforms

3.2 Parents and students must not contact tutors on personal emails or phone numbers.
3.3 This ensures that communication is professional, secure, and easily tracked by the school.

4. Cancellation and Rescheduling

4.1 Student Cancellations:

  • Lessons cancelled with 24 hours’ notice may be rescheduled at no additional cost.
  • Lessons cancelled within 24 hours may incur a fee or be non-refundable.

4.2 Tutor Cancellations:

  • In rare cases where a tutor must cancel, BIRS will notify the student/parent promptly and offer a rescheduled time or alternative tutor.

4.3 Missed lessons due to student unavailability without prior notice are generally not refundable or rescheduled, except in exceptional circumstances.

5. Responsibilities

Students/Parents:

  • Complete enrolment forms and follow payment instructions
  • Provide necessary materials and information in advance
  • Communicate any changes in contact details or circumstances affecting lessons
  • Attend lessons punctually and prepared
  • Maintain a professional attitude and respect during lessons

BIRS/Tutors:

  • Deliver lessons professionally and according to the agreed curriculum
  • Provide regular feedback on student progress
  • Maintain confidentiality and act in the student’s best educational interest
  • Track lessons and hours in the shared system for transparency

6. Enrolment and First Lesson Procedure

6.1 Parents must complete the BIRS Tutoring Enrolment Form with:

  • Subjects required
  • Days and times for lessons
  • Number of hours per week per subject
  • Proposed start day
  • Specific learning goals

6.2 After receiving the completed form, BIRS will issue a formal invoice for the agreed lesson block.

6.3 Lessons are only confirmed once payment has been received.

6.4 Final instructions, including secure online classroom links, will be sent to the parent/student prior to the first lesson.

7. Technology Requirements

7.1 Students are responsible for providing:

  • A reliable device (computer, laptop, or tablet)
  • Stable internet connection

Necessary software and applications (e.g., Zoom, Google Docs)

8. Progress Reports and Homework

8.1 Tutors may assign homework to reinforce learning objectives.

8.2 BIRS provides regular updates via the shared tracking system or by email, highlighting:

  • Homework completed
  • Tutor feedback

Areas for improvement

8.3 Parents can contact BIRS via official channels for questions regarding progress.

10. Refunds and Termination

10.1 Refunds may be considered only in cases of:

  • Cancellation of lessons by the school
  • Repeated tutor unavailability

10.2 Lessons may be terminated if:

  • Policies outlined in this document are consistently not followed

Payments are not made as agreed

11. Policy Updates

BIRS reserves the right to update this Tuition Policy at any time. Parents and students will be notified of any changes.
